Just refunded a significant sum to a regular customer. How do I go about getting my FVF back without inflicting an NPB on her?

I was disassembling a widget to make it easier and safer to ship when I discovered some damage that was not apparent while the widget was together. I offered the buyer the option of buying the item at a reduced price or cancelling the sale, and she opted to cancel. She had already paid me via Billpoint check. I refunded her money. Customer service at eBay told me I had to file a NPB to initiate the FVF credit, but to be sure to check the option that the sale was cancelled by mutual agreement. No problem there--I DID run into a problem though with filling out the form, because it asks if you've been paid, and if so, if you've refunded and how much. I had refunded all of the money. The "system" would not accept this form and kept saying I had to enter a valid dollar amount. Customer service said next time this happens just say no in the blocks for customer paid/refund. They also told me that each NPB is examined by customer service and it is determined by "someone" whether the NPB is filed against the buyer. In my case they did not file anything against the buyer, and the only notice my buyer received was 10 days later when I filed for the FVF--they sent the standard "did the two of you really not complete this transaction?" notice to her. Everything worked out well--positive feedback from buyer, and now she's having second thoughts, wishing she'd bought the widget which has been fixed and now looks like it might be selling for more than she was going to pay me. (If she happens to bid and win, I'll let her have it for the original price).

Perhaps you can give her a heads up on the NPB & explain that it won't affect her status any ('cause it really doesn't does it?) and that it's the only way to get your fee back. If she's a regualr customer perhaps she won't mind. Maybe you could offer her free shipping on her next order or something...

With psyllie's additional info re the FVF matter (that CS actually reviews these things and it won't affect my bidder's status), I think I'll go with what you suggest, labelle.

HCQ, when you file for FVF, there is an option that says something to the effect of "buyer returned for full refund." When you choose that option, the buyer does NOT get an NPB and you don't have to wait the 10 days - you get your FVF refund immediately.
