Here are facts...
1. Auction ended on Tuesday 1/9.
2. I left positive feedback for him on 1/25.
3. He left a NEG for me on 2/9, quote “e-mailed ebay seller never e-mailed me 24 days since auction ended”.
4. I sent him an email on 2/9 saying, “You just left negative feedback for me for auction #XXXXXX. Why is that?”
5. I have not received any emails from the buyer since the product was shipped.
Now I do not remember how he paid, but I only leave positive feedback after receiving payment. Since the feedback was over 2 weeks after the auction ended, I assume he sent me a M.O. via snail mail. It was not via PayPal, because it doesn’t show in my history. I am sure the widget was sent because I only had 4 to start with, have auctioned 2, and now have two left.
I want to respond to his NEG, but I need some help wording it. I can only imagine how much that this is hurting my other active auction for the same widget, since his NEG is on top.

WOW! That's a real bummer! I don't know what I'd say in return to that...don't you just hate those people who jump the gun, leave neg feedback without emailing you about the problem? It's not happened to me (YET) but I have several friends who sell on ebay that it has happened to...how can you fix the problem if you don't know what the problem is? This is the board to post for answers to your question though....someone will offer help..sorry I can't be of more assistance.

I'd recommend beefing up your record keeping system a bit--if you don't save the actual paperwork that comes with payment, at least start using a spreadsheet of some kind to show when payment is received and in what form, and what date the item shipped and maintain some proof of shipment. What would you have done in this case if the buyer had filed a fraud claim instead of leaving negative feedback? The appropriate feedback in this case would be "Payment received XX/XX/XX, item shipped XX/XX/XX. Was this meant for another seller?" If you're lucky, it was, and the buyer will be willing to help you get it removed, when he figures out his mistake. Check to see what kind of feedback this guy normally leaves. There's a few NUTS out there that like to leave neg feedback fo the heck of it. This tool will let you do that:

But it sound like you left feedback before the transaction was complete!. The transaction is not complete until you have heard from the buyer indicateing that he has received the item an everything is OK. Wait until then to leave feedback.

Actually, I do keep a spreadsheet with all that info. Unfortunately, there are about 5 auctions that didn't get recorded in the early part of this year. Never again.

That might not be a bad idea about waiting to leave feedback. I never considered it. I have a lot of transactions where the buyer never responds that they receive the widget. And if they don't leave feedback, you have no way of knowing. I will think about that one.

He may have you mixed up with another seller. Someone who didn't answer his email is probably wondering about the positive feedback they got.
