For years I have used a PayPal download of completed payments and a Word merge doc to print shipping slips and my envelopes.

Suddenly the download wouldn't work at the end of August! The PayPal reps told me to download day by day instead of "last download to present". It took more time but oh well....now I found out that the "daily" version did not include the updates on cleared payments for echecks! WTF!!! I am in SUCH big trouble!!!! I have 3 week old items that have not been shipped and I am going to have to grovel and refund s/h and PRAY that they don't all neg me!

Well I've done the grovelling and refunding and resurrected (I hope) the list of echecks to send out - one went to the Smithsonian! What a disaster!

If you groveled that story to me I would believe you and I certainly would not neg you. I'd probably send back the shipping too since you still had to ship. It sounds like you have understanding buyers already. Didn't anyone ask where their cards were in three weeks?

They asked here and there and I didn't figure out the pattern until yesterday. I finally pulled up a massive PP report (the OLD way) and it showed "cleared" payments and I found 14 that had not been mailed. UGH. To make matters worse,this all happened at the same time as my daughter (who had been helping me with shipping this summer) went back to college. I usually can remember whether a card had been shipped or not when I do the shipping, but not this summer.

Didn't PayPal have big glitches in applying payments at the end of August? I wonder if this had anything to do with that?

I had similar problems using eBay's Sales Manager to ship about a year ago. Cleared PayPal payments weren't showing up on my Items to Ship page. Extremely frustrating because eBay was well-aware of the problem and the implication it had for sellers and buyers, yet did nothing to notify sellers, other than a weak "Some items may not be showing on the "My eBay Page". It was several weeks before I realized the extent of the error.

I've heard back from a few buyers who were very gracious about it - Smithsonian was VERY nice (DUH - I suppose they don't care much about a s/h refund). Now it's the ones I haven't heard from that make me nervous.

I wouldn't start funding shipping costs.

I would just included a polite note that changes at paypal regarding shipping lables may have delayed their orders. Maybe a small inexpensive bonus item would neutralize any bad fellings about late shipping.

Many of the mega-sellers take longer than 3 weeks to ship.

Neglus charges $1.50 - $2.00 shipping. Cheapest concession to make.
