This might be a dumb question, but does the "Paid" indicator in Post Sale trigger off the emails arriving from PayPal, or do you have some kind of API/feed from PayPal that updates those flags?
Do I need to check on the PayPal site to validate a payment email, or is the Post Sale indicator sufficient to know that PayPal actually processed that auction?
If you activate the IPN link (you can get directions how to do this in My Account > Post Sale Acceleration -- I think you've done this already though, I seem to remember helping you out with it once) then when someone pays for their item, we are able to detect in Post Sale that the item has been paid for (provided they went through the proper forms/channels) and step 3 will mark off.
I don't think you'd have to check PayPal to validate as you always get an email that notifies you a payment was made. You can check that email to make sure its the same person, etc. It probably depends on your settings within PayPal.
My point is that emails are increasingly spoofed. I get a couple a day claiming to be from eBay, PayPal, who knows what. It is simply a matter of time before I get one that claims to be paying for an auction via PayPal.
So, my question still stands: does the paid indication in Post-Sale come from Vendio getting an "email from PayPal" or does it come from an API/feed between Vendio and PayPal? One is presumably secure, the other not.

Thanks. That's a very reassuring answer... and one that will save us considerable time since we now don't fully trust emails.

Be careful though - I am having problems with when buyers pay for multiple items in one payment - NONE of them update in Vendio.

Thanks neglus, but we usually combine those with a new invoice, and haven't had any problems matching payment to invoice.
