For the first time, I have had someone tell me they have a resale number and how would we handle this via the internet?
I know I can snail mail them a copy, but wonder if their is a better way.
The buyer doesn't have a copy and does not have a scanner.
Any suggestions?

Depending on what state you are in, there are usually some type of Sales Tax Exemption form that can be filled out where the buyer provides their sales tax # for you and you keep that form in your files. In Nebraska its a Form 13 Resale and Sales Tax Exemption certificate. What you can do is carry out the transaction like normal, include a copy of your states Resale form with the item, and ask them to mail you back the completed form.

Thanks, I feel like such an idiot!!
It just never occurred to me to send it with the item. The payment was going to be handled through Paypal, and my mind went no further. Well, just chalk it up to a senior moment.

I'm confused. If you're the seller-what are you sending them? (besides the item, of course) Shouldn't the buyer be sending it to you?

You also could ask your buyer to check the web for the appropriate form. My state's revenue department has every possible form in printable format.

Where I work we mail the forms out every three years for updates (the forms can be completed for a single purchase or for a blanket exemption for 3 years).
If I'm understanding correctly the buyer is saying that he's making this purchase for resale - don't charge me sales tax, and I have an exemption #. If you guys are in the same state, he could go to the states Department of Revenue website and DL the form and mail it to you that way - or you can mail the form with the shipment for them to complete and return... either way should work - then you just keep that on file for them.

I found a copy of the form on the web. I should have known to look there.
For the person who wanted to know what I was sending-- here in Texas, it is the responsibility of the seller to get the resale number and a signed certificate in lieu of collecting sales tax. Otherwise, the seller must pay the taxes due on any taxable item. It has always been the seller who furnishes the forms. But you are right, it seems that if a person doesn't want to pay sales tax, they should have the forms - but alas, Texas likes to use the business to collect their tax money. There was a time, we had to pay them for this privilege -

Hello Auctionwatchers. Does anyone in NY know whether a NYS buyer sending just a photocopy of his tax Certificate of Authority
is sufficient enough? Or does he need to provide some other form as well?

BLACKJACK,
New York State Sales Tax Department has a form that Seller's fill out one portion and then Buyer's fill out another portion.
Getting a copy of their certificate does not give NYS the required language which requires the buyer to acknowledge, under penalty of perjury, that they actually are buying for resale purposes.
The form is ST-120
P.S. This is on actual knowledge, as I previously resided in Buffalo, NY and held a New York State Sales Tax Certificate. I now reside in Florida and things are a little different here.

hi,i am in texas,it is true seller provides the form.
but in some places where dealers shop,they would rather pay sales tax than fill out the form.

xenainfla, thanks for the tip. I'll need to contact this person and request the proper ST-100 form, then. He's was already 2 weeks late with payment, so I hope this process of getting him to submit the form correctly doens't end up like root canal surgery.
I appreciate the advice!

Ask the buyer what his certificate number is. I'd wager he has no resale certificate and is just trying to avoid sales tax.
