Hello. Well I must have missed an announcement. How long has it been that we lose the history in the closed auctions. Didn't it used to be a years worth. I am just starting to think of taxes and now may be missing some information. I knew the pictures would be deleted if not used, but I don't remember this with the closed auctions. So are they permently gone??

Hi there,

Auto-archive was actually announced several months ago. The auto-archive feature will archive your closed sales after 12 weeks in order to reduce the number of unused closed sales stored in our system and to keep your costs as low as possible.

We realize that this can result in the archiving of data that you might need, so we have also included a restore function which will allow you to restore some closed auction data that has been archived. Note that this function will allow you to restore data for a limited time after it is archived, so please be sure to remember the auto-archive intervals set in your account. To restore your items, go to Sales Manager -> Archive (in the left navigation bar) -> Restore (also in left navigation bar.)

You can also export your archived data into an Excel file for reporting purposes. To do this, click the Archive link in the left navigation bar, specify your date range and report type, then click the Export button.

If you find that you are relaunching auctions from your closed section frequently, or you want to retain listing data for templating purposes, you should save your auctions to Inventory as you list them. This will save a copy of the auction which can then be relaunched at any time. By using Inventory, you will be able to organize your listings in separate folders which will allow for greater efficiency and ease of use. You can also easily list a single inventory item to any venue, which will save time if you are using multiple venues.

If you want to copy a particular closed item to your inventory for future relist, follow these steps:

1) Go to the 'Closed' section of control panel
2) Select the item you wish to copy, and click the 'relist' button
3) Click on the 'edit' link next to the selected item
4) Scroll to the bottom of the item listing, click the box next to 'save this item in my inventory', then click the 'save' button
5) Cancel relist if you wish to just save and not relist the auction

Note that the listing will be saved into the "unfiled" folder.

You may also disable auto-archive by clicking My Account -> Global Preferences. This is free for a limited time, but we do plan to eventually charge a storage fee for closed sale data.

Thanks,

Diana
